03How it works

Six steps, with your approval at the points that matter.

  1. Understand the actual tasks

    We start with the work, not the tool: which questions your team answers repeatedly, which documents they draft, and where answers currently come from. Three uses are chosen from that list.

  2. Select the platform

    ChatGPT or Claude, based on the tasks, the sources you need, your existing accounts and the plan features that matter. One primary platform keeps training and upkeep simple.

  3. Organize approved context

    We gather up to twenty reasonably organized documents, agree which version is the source of truth, and name the person who owns updates. Conflicts are resolved by you, not guessed by the assistant.

  4. Configure the three uses

    Project instructions, reference material and, where your plan and source allow it, one read-only connection. Each use gets clear limits: what to do when information is missing, and what must go to a person.

  5. Test representative cases

    Around twenty real examples — including questions the material does not answer, conflicting information and requests that should be escalated. You review the results before the team relies on it.

    Two live sessions built on your three uses, a recorded walkthrough, a short usage guide and a handover of how to update the reference material. Then 30 days to correct anything in the delivered setup.

Both platforms offer projects that combine instructions, reference files and team sharing on their business plans. They differ in how shared projects handle chats, which sources can be connected, and how admins control those connections. We check the current official documentation and your plan before promising a specific feature.

Same package and price on either platform. Subscriptions are bought by you, directly from the vendor.

Your accounts, your users

The workspace runs on a business plan your company buys and owns, with named users. When we finish, you keep everything; there is nothing to hand back.

Two sets of permissions

A document can be restricted in its original folder and still visible to everyone in a shared AI project once it is uploaded there. We check both before anything is added.

Hosted tools, honestly described

ChatGPT and Claude are third-party hosted services. Both vendors publish business-data policies; we review your plan’s settings with you rather than promise compliance on their behalf.

Everyday material first

The standard package is built for ordinary business information — procedures, service terms, templates. It is not designed around regulated health, financial or identity data.

07Questions

About the workspace setup

Is setting this up the same as training our own AI model?

No. We configure an existing assistant with instructions and reference material. The underlying model is not retrained, and we do not build custom models or vector databases.

What is the difference between uploading files and connecting a source?

An uploaded file is a copy of that document as it was when uploaded; if the original changes, someone has to upload the new version. A connected source lets the assistant look up the current version in a supported app, subject to that person’s permissions in the app.

Connections depend on your plan, your admin settings and the specific app, and the two platforms do not support them identically. Where a connection is not available or not appropriate, we document an approved-upload routine and name who runs it.

Can more than five people use it?

The standard price covers setup and training for up to 5 team members in one team. Others can be added to your plan later; training additional groups or departments is scoped separately.

We have hundreds of messy files. Can you clean them up?

The standard scope covers up to 20 reasonably organized documents (about 100 pages in total). Large archive cleanup and writing missing procedures are not included; we can help you choose the twenty that matter most, or scope cleanup separately.

How accurate will it be?

We do not quote an accuracy percentage. We test it against around twenty of your real examples, including ones it should refuse or escalate, and agree with you what counts as a pass. Success means a team member completes the agreed task without someone coaching every step.

What does the 30-day stabilization period cover?

Corrections to the setup we delivered: instructions that need tightening, reference material that needs reorganizing, a use that is not behaving as tested. It does not include new uses or ongoing support — that is what the optional care plan is for.
