Setting up ChatGPT for a business team.
ChatGPT is a strong fit when a team needs a shared space for recurring work and its documents already live in apps ChatGPT can connect to. Here is what changes on this platform — and what we check before promising anything. The setup itself is our standard AI Workspace Setup at $2,500 one-time.
01The plan
ChatGPT Business is the usual starting point.
Business, formerly Team
OpenAI renamed ChatGPT Team to ChatGPT Business in August 2025. It is a self-serve workspace for teams, with a minimum of two paid seats. Larger organizations and contracted needs move to Enterprise.
Workspace controls apply to projects
Projects inherit the workspace’s settings, including which tools and apps are available. The admin settings matter as much as the project setup itself.
Training on your data
Per OpenAI’s published policy, data from Business, Enterprise and Edu workspaces is not used to train its models by default. We review the workspace settings with you rather than assume them.
02Projects and sharing
A shared project is a shared room.
- Instructions
- Project instructions apply only inside that project and override each person’s general custom instructions.
- Files
- Business, Enterprise and Edu projects hold up to 40 files — one reason we keep the reference set small and deliberate.
- Who sees what
- Members of a shared project can view its chats, files and member list, and can download files added to it. Anything uploaded is visible to every member, whatever its permissions were in its original folder.
- Roles
- Edit access lets members change instructions and files; chat access lets them use the project without changing it.
- Memory
- Shared projects use project-only memory, so they do not draw on members’ personal chat history.
What this means in practice: because chats in a shared project are visible to its members, we agree with your team what belongs in the shared project and what should stay in private chats.

Simple and predictable. When the original document changes, someone uploads the new version — so we name that person and write down the routine.
Project sources from apps
Links to where work lives
Supported links, such as Google Drive files and folders or Slack channels, can be added as project sources so ChatGPT works from current material. Availability depends on the app, plan and workspace settings.
Company Knowledge
Search across connected sources
On Business, Enterprise and Edu, OpenAI’s Company Knowledge answers organization-specific questions from connected sources and respects each person’s permissions in those sources.
Admin note: in ChatGPT Business, many apps are enabled by default and an admin can change workspace-wide availability. We review that list with you before the team starts connecting accounts.
04Custom GPTs
We do not build new custom GPTs.
OpenAI has announced that custom GPTs are scheduled to retire on December 11, 2026, and recommends moving workflows to its newer plugin approach. Building a new custom GPT now would hand you something with a short shelf life.
Our setups use projects, instructions and approved sources, which carry over cleanly. If you already rely on custom GPTs, we can help you decide what to move into a project during the setup.
05Realistic tasks
Where ChatGPT setups tend to earn their keep.
- Shared answers for a team. One project with the approved procedures and policies, so new and existing staff get consistent answers with sources.
- Drafting from your templates. Customer replies, proposals and summaries that start from your terms and tone, reviewed by a person before use.
- Working from current documents. Where a supported app link or connection fits, answers that reflect the latest version of a shared file.
What we check before promising a feature
- Your plan and whether the feature is available on it today
- Workspace app and sharing settings, and who administers them
- Whether your source is supported as a project source or connected app
- File count and size against the project limits
- Who can see the project, and what that means for each document
